++++++++++++++++++++++++++++++++++++++++++++++++++++++++++++++++++ Holy Cross High School Alumni Association Constitution Holy Cross High School Camp Phillips, Bukidnon We, the members, imploring the aid of Divine Providence, conscious of our obligations firmly believed: That the dignity of unity must by all lawful means be upheld; That the well-being, prestige and decent understanding of the members of the HCHS Alumni Association, in general can be achieved effectively and to its level best by organizing ourselves into an association ever firm and solid in the pursuit of our aims and purposes for the amelioration of the HCHS Alumni Association, That the educational and social well-being, the financial and moral upliftment or unity, in general, can be well attained and achieved through understanding among members. So, with these aims in view, we do hereby unite ourselves into an association and promulgate this Constitution and By-Laws. ARTICLE I NAME AND DOMICILE Section I: Our organization shall be known as the Holy Cross High School Alumni Association, herein after referred to as the HCHSAA. Section II. The main office of the Association shall be at the Holy Cross High School, Phillips, Manolo Fortich, Bukidnon. ARTICLE II LOGO OF THE ASSOCIATION Section I: Logo of the Association shall be patterned after the Holy Cross High School seal bearing the name of Holy Cross High School Alumni Association. ARTICLE III DECLARATION OF PRINCIPLES Section I: The HCHSAA recognizes and upholds the Constitution and By-Laws of the Association as the expression of sovereign will of its members and as the supreme law of the organization. Section II: The HCHSAA shall seek the realization of an egalitarian Holy Crossian and the promotion of unity, loyalty, equality, discipline, and fraternity among the members. Section III: The HCHSAA recognizes the paramount importance of the school in the development of a deeper educational, spiritual, social and moral commitment of every students. It shall promote and maintain Holy Cross High School spirit based on her philosophy and objectives. Section IV: The HCHSAA shall be the center of harmonizing the actions of the members in the attainment of common goals. Section V: The supreme power resides in the HCHSAA Assembly and all authority of the lawful officers of the Association. ARTICLE IV MEMBERSHIP Section I: All Holy Cross High School graduates shall become members of the HCHSAA. Section II: All members shall have a membership fee at an amount subject to be reviewed annually by the officers of the Association and approved by the General Assembly. ARTIVLE V THE EXECUTIVE BRANCH Section I: The Executive functions and responsibilities shall be vested upon the President, and the following officials are to be elected at large: President Vice-President Secretary – Treasurer Auditor Press Relation Officer Social Managers Section II: The President shall execute legislation, resolution, passed concomitant to all objectives and purposes as stipulated in the Constitution and By-Laws. He / she shall affix his / her signature on pertinent documents, and other business of Association. He / she shall represent the Association in all functions. The President shall preside at all times and at all meetings of the members. He / sha shall countersign all notes of the Association and all others such as, disbursement of funds, minutes of the meetings, etc. Section III: The Vice-President shall have an exercise of all the powers, authority, and duties of the President during the absence of the President as disability of the latter. The Vice-President shall assume the Presidency in the event of President’s incapacity and other personal affair. Section IV: a) The Secretary - Treasurer shall keep and maintain full and correct records of minutes of all meetings, sign all memoranda and keep all pertinent papers and documents of the Association. He shall give or cause to be given same in the manner described in its By-Laws. The Secretary – Treasurer shall also collect, receive cash, disburse cash, issue cash receipt of collections. He shall provide and maintain a complete records of all the assets and liabilities, update his posting in the cash book and keep it for the members’ information. He shall keep all funds and pertinent financial papers of the Association. He shall deposit all funds in any bank agreed by the board and all funds of the club in excess of all authorized expenditures of the Association. Section V: The Auditor shall audit the financial reports of the Association and check the financial operation and standing of the Association funds in order to protect them from misuse and misappropriation. He shall attend all general meetings and report his findings and investigations of the handling of the Association funds and properties. Ke shall work hand in hand with the treasurer in establishing procedures of modern accounting and book keeping. He shall perform other function as the President may direct him to do. Section VI: The Press Relation Officer shall take charge of all affairs relating to publications, information, announcements of the organization, and other allied informational business. ARTICLE VI MONTHLY DUES AND CASH BOOKS Section I: Receipting of dues and cash books. This Association must provide official cash receipts to be issued for payments of the members fee. An official cash book shall be initiated by the treasurer of the Association. No payment shall be made without an official association receipt. ARTICLE VII FUND RAISING Section I: Shall have the approval of the President and the majority of the officers. Funds can be disbursed for fund-raising purposes. The approval of the President for expenditures to be put into any business, shall be known by the members. ARTICLE VIII QUORUM AND MEETING Section I: Quorum for meetings shall be one-third (1/3) of the total membership of the Association for general assembly and 50% plus one for regular officers meeting. Section II: The President at any time shall hold special meetings as the need arises and at the request of the members of the Association. The Secretary shall take charge of issuing notice of any coming meetings to the members. Section III: Order of business during meetings shall be: Roll call Reading, correction, and approval of the minutes of the previous meeting Report of the Secretary – Treasurer Unfinished business New business Adjournment ARTICLE IX GENERAL PROVISION Section I: All powers, authority, duties and functions of the officers and members of the Association pursuant to the provisions of this Constitution and By-Laws shall be exercise in strict conformity. Section II: The name of the Association shall not be used for unjust, unlawful or immoral ends. ARTICLE X ELECTION Section I: The election of HCHSAA officers shall be held on any day agreed upon by the members during the Homecoming and every two years thereafter. Section IL There shall be a HCHSAA Board of Elections, members of whom shall be responsible for the conduct of the election. Section III: Any member of the HCHSAA shall be eligible for any position of the Association. ARTICLE XI AMENDMENTS Section I: Any amendment to, or revision of this Constitution maybe prposed by the assembly upon a vote of majority of the quorum. Section II: Any amendment to, or revision of this constitution shall be valid when ratified by a majority of the votes casts for the purpose, which shall be held immediately after the approval of such amendments or revision. ARTICLE XII TRANSITORY PROVISION Section I: All incumbent officers of the Association shall continue to hold office until the expiration of terms and the officers duly elected in accordance with this constitution. Section II: This Constitution shall take effect immediately upon its ratification. By a majority of the votes cast for the purpose and supplement all existing laws and rules regarding the Association.
